OAKS(www.youroaks.com) is an education technology online platform that delivers personalized and engaging learning experiences to primary and secondary school students .It is a product of Sunitha Infovision Ltd , which has been delivering digital learning experiences at many schools since last 15 years in the states of Telangana and Andhra pradesh with more than 200 schools and using their e learning products and digital learning platforms to provide educational support and services to government schools.

The company was looking for automation tools that could help them in better project management to manage content creation and internal automation of HR processes, IT infrastructure monitoring. They tried many tools but always ended up with disappointment by experiencing more expenditure and less productivity through them.  Being our valuable client we have suggested them to switch into Zoho. They are now happy and satisfied customer of Zoho.

  • Project Management Challenges: The YourOAKS team faced difficulties in coordinating tasks and managing projects for delivering e-learning content (videos, animations, modules) across multiple teams using traditional Excel sheets.
  • HR Process Streamlining: As the company grew to over 50 employees, they needed to streamline their HR processes.
  • Platform Monitoring Issues: Their e-learning product, deployed on AWS cloud, required real-time monitoring for performance, diagnostics, and availability. However, they couldn’t find an affordable, advanced tool that could manage:
    • Website and server performance
    • Synthetic web transactions
    • Application performance and network monitoring
    • Public and private cloud environments
    • Real user monitoring
    • Log management
  • Customer Demand for Analytics: Customers began requesting real-time, in-depth analytics and insights into students’ learning experiences, but the current platform, running on a MySQL database, could not support these advanced analytics needs.
  • La solution

    We suggested using Zoho People to handle the entire employee life cycle, starting with posting job openings in Zoho Recruit, sourcing and associating candidates, selecting the best candidates, skill-set mapping, and interviews. The candidate transfers from Zoho Recruit to Zoho People after accepting the job offer. The pre-onboarding (candidate onboarding) gets triggered, all required documents are attached by the candidate and approved by the HR. All the organization policies were configured and customized for effective HR operations and control.

    In under 1.5 months, Zoho Recruit and Zoho People were implemented. There were HR controls in place, allowing them to keep an eye on all tasks, approvals, and leave administration linked to HR. They were able to improve shift adherence thanks to the attendance module. A connection with the employees was formed through announcements and recurrent birthday, promotion, and anniversary greetings.
