Roast Café, located in Hyderabad, is a growing establishment with multiple branches across the city. To efficiently manage their inventory, Roast needed a solution to oversee stock levels, accurately track inventory movements from their central warehouse to other branches, and generate detailed inventory reports. They aimed to have visibility into closing stock and its value at the end of each month for better inventory control and decision-making.

The Challenge

Roast Café faced difficulties in managing their inventory across multiple locations. The primary challenges included:

  • Inability to efficiently track stock transfers from the central warehouse to individual branches.
  • Lack of accurate, real-time inventory data, making it difficult to assess closing stock and stock values.
  • A manual reporting system that hindered the generation of precise inventory reports.

These issues made it difficult for Roast’s management to optimize inventory levels, resulting in potential shortages or overstocking of items.

The Solution

To address these challenges, we recommended implementing Zoho Creator and Zoho Inventory. The solution was designed to provide a centralized platform for managing inventory flows and generating accurate stock reports.

Benefits and ROI

Our approach involved developing a custom application using Zoho Creator to manage Roast Café’s inventory operations, with Zoho Inventory handling detailed inventory management and reporting. Key features of the solution include:

  • Procurement and Stock Transfers: Enabling the team to manage procurement workflows such as raising indents, generating purchase orders (POs), and managing purchase receives (PRs).
  • Stock Transfer Management: Facilitating seamless transfer of items from the central warehouse to other branches. The system includes the creation of Issue Notes after items are transferred, as the items are sent directly for consumption/usage.
  • Integration with Zoho Inventory: All POs, PRs, and Transfer Orders created in Zoho Creator are automatically synchronized with Zoho Inventory. This ensures accurate inventory tracking and report generation across all locations.
